How to Encode and Submit Grades in the Grading Sheet

Complete procedure for encoding raw quiz/exam scores, calculating transmuted ratings, validating passing marks, and locking grading sheets.

Step-by-Step Instructions

Open Grading Sheet

Go to Grading Sheet > Select Academic Period, Subject, and Section.

Input Student Raw Scores

Type numeric grades in the active term column (e.g. Prelim, Midterm, Final).

Verify Converted Ratings

The system computes equivalent grade points (1.00–5.00) using the college's conversion policy.

Submit and Lock Sheet

Click 'Submit Grades'. Once finalized, the sheet is locked from further direct edits and sent to the Dean/Registrar.

Important Business Rules & Invariants

Deadline Lock: When the Registrar grade submission deadline passes, unlocked sheets lock automatically.
Passing Mark Threshold: Ratings equal to or worse than 3.10 / 5.00 trigger an automatic Failed remark and alert the student advisory.

Common Questions & Troubleshooting

Students with approved drop requests will automatically display 'DRP'. Select 'INC' for students with missing major exams.
